Document Control Specialist mengelola seluruh dokumen yang terkait dengan sistem manajemen mutu. Kandidat akan bertanggung jawab untuk memastikan kepatuhan dokumen terhadap standar, menjaga konsistensi, serta mengelola akses dan distribusi dokumen kepada tim. Peran ini penting untuk mendukung kelancaran proses operasional dan memastikan dokumentasi yang akurat dan selalu diperbarui.

Tanggung Jawab:

• Mengelola, mengorganisir, dan menyimpan dokumen mutu, termasuk prosedur, manual, catatan, dan formulir.
• Mengembangkan dan mengimplementasikan sistem pengendalian dokumen untuk memastikan semua dokumen versi terbaru dapat diakses.
• Meninjau dan memperbarui dokumen sesuai standar mutu dan regulasi yang berlaku.
• Berkoordinasi dengan tim internal untuk distribusi dokumen yang diperlukan dan memastikan kepatuhan terhadap standar manajemen mutu (misalnya ISO 9001).
• Menjalankan audit internal dokumen secara berkala untuk memastikan kepatuhan dan konsistensi.
• Melakukan pelatihan dan pembinaan kepada staf terkait manajemen dokumen sesuai dengan prosedur perusahaan.

Kualifikasi:

• Pendidikan minimal S1 di bidang Administrasi, Manajemen, Teknik Industri atau bidang terkait.
• Pengalaman kerja minimal 2 tahun dalam pengelolaan dokumen, terutama di industri yang menerapkan standar mutu.
• Pengetahuan tentang ISO 9001 atau standar mutu lain merupakan nilai tambah.
• Detail-oriented dengan kemampuan organisasi dan pengelolaan dokumen yang kuat.
• Terampil menggunakan software manajemen dokumen dan aplikasi MS Office (Word, Excel, PowerPoint).
• Kemampuan komunikasi yang baik, baik secara lisan maupun tulisan.
• Diutamakan domisili Tasikmalaya.

Some of your duties will include:

• Responsible to manage day to day of planning, controlling and monitoring of all projects development and construction under IFMS Project Department
• Create a strategy and action master plan of all project’s development, construction and progress are captured, monitored, controlled, and ensure its being followed up on a regular basis in most effective and efficient way
• Controlling and monitoring of actual progress achievement, manpower deployment, cost spending against approved plan and as per contracted scopes in regular basis
• Provide comprehensive review and challenge-back calculation on all submission related to time schedule, manpower, equipment, procurement planning submission by contractors / sub-contractors / vendors / suppliers
• Provide a strategic action plan that sets milestone target in accordance with duration of time, construction method and work sequences in general project schedule
• Provide forecasting plan of any potential project slips in time duration, progress achievement, cost & budget, and prepare a delay analysis and recovery plan to overcome the risk
• Prepare cost estimation (owner estimate) of all planned projects refer to drawings, material specifications and scope of works. Controlling cost against overall budget planned in periodical basis as in the BP / AFE (monthly, quarterly, semesterly, yearly). Monitoring actual spending budget against planning of each and all projects against allocation in detail specs, variances, deviations
• Checking and ensuring all progress claims and invoices are accordance to actual progress at site, completed with proper documented evidence, submitted as per contracted scope, all in timely manner
• Identify, check, review, and ensure potential VO/CO to be included in the monitoring cost & budget, and are submitted with complete justification, calculation, and impact to overall project plan
• Prepare management report in weekly basis

Some of your duties will include:

·        Responsible to manages Cost Control, Material Control and sub-contractors in the day to day activities associated with planning facility maintenance including all Office Building, Housing and Guest House, Camp Room, and public facilities, and Control Budget Under Facility and services;

·        To prepare budget and material, managing cost and control the material of infrastructure maintenance and all necessary resources required to accomplish for Infrastructure maintenance activities

·        Analyst the man hours use versus the man hours availability to ensure all the cost maintenance job are effective and efficient

·        Prepare and manage an annual budget, quarterly forecasts, manpower planning, and AFE Pipeline in accordance with company standards and policies

·        Reviews and updates departmental procedures and policies, administers discipline, enforces company policy, and ensures compliance with state, federal, or other jurisdictional laws.

·        Manage, monitor and report on the KPI performance of Business Partners.

·        Review and authorize all Departmental transactions in compliance with company policies and authority levels, or delegate such authority to the appropriate subordinate(s).

·        Develop Strategic Business Plans for Life of Mine Activities and provide consistent and regular updates to the cost and material plan in conjunction with and alignment to the operations changing needs.

·        Coordinate pro-actively with planning team to ensure that the day to day operational needs are met while counterbalancing the strict operational and maintenance requirements in line with Indonesian or better standards.

·        Manage the equipment register in relation to registering new material and equipment into the system, and equipment being transferred from one section/department/division to another.

·        Manage the material and component register in relation to material and components being service, so that the life cycle of the individual component can be traced and costs accumulated for budgeting purposes.

·        Manage equipment service schedules are organized to minimize disruption to the Infrastructure, by ensuring each infrastructure building is involved in the equipment service allocation process.
