MidPlaza Holding is looking for a dedicated and highly organized Project Administrative and Operations Assistant Manager to join our team. In this role, you will support project managers in the delivery of projects by ensuring efficient administrative support and operation coordination. You will assist in managing schedules, budgets, and reports while facilitating communication between various departments and stakeholders.
Responsibilities:
Administrative Duties :
1. Oversee all administrative tasks, including documentation, record-keeping, and correspondence related to project activities.
2. Maintain and update project schedules, calendars, and reports for internal and external stakeholders.
3. Handle procurement processes such as requisitions, purchase orders, and vendor coordination.
4. Ensure compliance with company policies and project-related regulations.
5. Support budget tracking, invoice processing, and expense monitoring.
Operational Support :
1. Coordinate logistics for project meetings, site visits, and client interactions.
2. Support resource allocation and tracking, including personnel, materials, and equipment.
3. Collaborate with team members to resolve operational challenges and improve efficiency.
4. Assist in preparing project deliverables, including reports, presentations, and proposals.
5. Act as a liaison between departments to facilitate project execution.
Leadership and Team Collaboration :
1. Supervise administrative staff or junior assistants, ensuring task completion and performance.
2. Work closely with Project Managers and team members to support strategic planning and execution.
3. Identify process improvement opportunities and propose solutions.
Education and Experience :
1. Bachelor’s degree in Business Administration, Project Management, or a related field.
2. 3–5 years of experience in administration, operations, or project support roles.
3. Experience in the construction, engineering, or project-based industries is preferred.
Skills :
