• Design the Event experience, ensuring a high level of delivery in support of the Event’s strategy and customer needs
• Develop and improve the customer experience at each Event, ensuring feedback is collated and incorporated
• Develop the longer term Event design alongside the Events Director, using both customer feedback and innovative thought to develop and maintain the Brand as a market leader   
• Support the Events Director in the management of the Brand P&L, including successful delivery of complementary products including conferences and seminars
• Liaise with Sales, Marketing and Operations teams to ensure all elements of the Event are in alignment to create successful event
• Negotiate with venues and suppliers together with Operations and Procurement for Event specific requirements
• Build relationships with key customers to understand both specific and wider market needs, feeding trends / issues back into Event strategy
• Develop deep industry knowledge through personal relationships and market analysis
• Support the Events Director in overseeing the Event's floorplan, managed by the Sales Operations team, escalating any strategic decisions where required
• Perform additional responsibilities as assigned

Ember are looking for a passionate, self-motivated individual with an interest in providing excellent finance, administration, event and internal communications support to join our busy operations team in this newly-created post.  This will be a varied role that will suit someone who is excited about helping us develop our internal operations and support a growing international team.

Ember is an independent, not-for-profit energy think tank that aims to accelerate the clean energy transition with data and policy. We gather, curate and analyse data on the power sector and coal mine methane emissions, and use our findings to improve energy and climate policy.

As a remote-first organisation, with colleagues based across Asia and Europe, you will play an important part in developing and implementing our internal processes to enable everyone to achieve their full potential. The Operations team provides a strong foundation to the rest of Ember, and our work covers finance and fundraising, people and HR support, project management, donor relations, impact reporting, and systems to support the smooth running of the organisation.

With the support of senior operations colleagues your role will involve a wide range of duties to ensure the smooth running of Ember particularly with financial admin, office and IT management, logistics and internal communications.

The ideal candidate for this role should be a good all-rounder, happy and willing to get stuck in where needed; not led by bureaucracy but by creativity and possibility.

Responsibilities

Finance & grant administration:

• Work with finance staff to ensure accurate and timely processing of employee compensation, including addressing pay/ expense-related questions or concerns; and supporting with tracking of invoices and monthly reconciliations
• Work with finance, donor relations and project staff to support contracting and record keeping for grant administration

Office management and logistical support

• Support with office management/contracts with co-working spaces, meeting room bookings and other ad hoc office needs
• Support with IT/tech set up (onboarding & offboarding to gmail, slack, other relevant tools such as CRM database)
• Support with tracking assets, equipment and software usage
• Maintaining Ember filing systems and supporting team with GDPR/data protection compliance
• Support with license/subscription renewals as necessary
• Support to develop/maintain ‘how to guides’ and handbook (such as travel booking, expenses, etc)

Internal/external communications

• Coordinating internal comms updates e.g. team news
• Admin and event organisation support to face-to-face and virtual team meetings (inc. our Advisory board)
• Updates to relevant pages on the Ember website (such as people, careers, impact, funding etc.) and creating relevant social media posts as appropriate.

Other

• General admin support to Ops team, including the collection and reporting on data such as tracking KPIs, survey responses etc.
• Ad-hoc project administration support to our flagship reports such as the Global Electricity Review.

Must have

• Graduate level or with demonstrable experience in a similar role
• A great team player with a solution focused, ‘can do’ attitude.
• Self driven and proactive, able to prioritise own workload and gain satisfaction from getting the job done to a high standard, and also able to operate well in a team based remotely.
• Excellent organisational and coordination skills, experience of juggling multiple tasks or projects and working to tight deadlines

• Great level of computer literacy with experience of working with different IT systems and data

Salary: £31,000 - £37,260 GBP. Salaries may be adjusted depending on a location cost of living formula, but will not be below 75% of advertised figure.

Contract: Full time (but only working 9 days every fortnight with no reduction in pay), permanent subject to a 3 month probationary period. For employees based outside of the UK, a local payroll contract is available, dependent on the country.

The Assistant Manager Supply Chain performs sales forecast planning (PSI planning), revenue recognition process control, logistic cost control, import/export handling, logistic scheduling, inventory management for product parts and accessories in a warehouse in line with the organizational strategy and guidelines. He/she will ensure the execution of the registration/market access process (regulatory affairs) so that product launch schedules are met, customer satisfaction is achieved including compliance with the applicable regulatory requirements.

• Making reliable sales forecast and getting consensus with Sales and Marketing as a basis of necessary inventory replenishment.
• Keeping optimal inventory level in line with sales, marketing, service requirements on monthly basis.
• Coordinate with 3PL for vessels scheduling, ETD/ETA updates, Bill of lading, document check and custom clearance updates from 3PL.
• Input inventory purchases into Stock/inventory system . Report exceptions like shortages, damages etc.
• Report on back order, short stock, excess items, slow moving inventory of products and accessories and communicate to concerned stake holders. Work on inventory optimization.
• Time to time review of logistics and warehouse operational expenses in line with monthly budget. Work on logistics supply route optimization to fulfill the demand on time.
• Execute the process of product registration and market access approval in the designated countries including providing all required documents and certificates within the specified timeframe proactively to allow “as early as possible” product registration.

• Bachelor Degree in Supply Chain or related field
• Min 5-10 years experience in supply chain
• Strong cross functional communication skills.
• Knowledge of basic INCO terms, shipping, custom requirements
• ERP Knowledge of SAP/JDE/Anaplan
• Good knowledge of import/export documentation and regulation.
• Knowledge of 3PL operations and logistics planning/scheduling is preferred.

• Work with regional financial management dept. to check all company’s financial and accounting operations to ensure correct financial statements on monthly basis.
• Provide timely and accurate financial reports (P&L and BS) and interpret financial information to management while recommending further courses of action.
• In charge of company’s management rules, design internal procedures and related documents to ensure effective risk management and efficient workflow.
• Manage audit processes (Internal- and External audit) and ensure compliance with required standards on financial internal controls (J-SoX, US GAAP, IFRS, OGR) as well as provide compliance training to enhance employees’ understanding and attention to prevent any compliance issue.
• Provide accurate estimation of administrative expenditure to support management to plan yearly budget and quarterly forecast.
• Perform monthly balance sheet review and ensure compliance with US GAAP, local GAAP and group requirements.
• Finance data maintenance related to general ledger in line with Omron Accounting policies and local compliance. Coordinate data alignment with OMCP.
