Accounting Officer

The Accounting Officer will play a crucial role in the finance department by ensuring accurate financial record-keeping, effective management of financial transactions, and compliance with hotel policies and regulations. This role will involve assisting accounts payable, accounts receivable, payroll, financial reporting, as well as assisting with audits and budgeting.

What you will be doing:

• Assist in managing accounts receivable processes, ensuring timely and accurate collections.
• To ensure all charges and payments are posted to the correct ledger and to maintain and to minimize balance of hotel and accounts receivable.
• To prepare the proforma invoice, invoice and all the billing related with clients.

Job Summary

The HR Executive will play a key role in supporting the organization’s human resources functions, including total rewards, employee engagement, recruitment, and administrative operations. This position requires a proactive and detail-oriented individual who can handle HR tasks efficiently while fostering a positive work environment.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

1. Total Rewards & Compliance

• Collaborate with Senior Manager, HRBP to input payroll data accurately.
• Ensure employee adherence to company policies and regulations through regular monitoring.
• Administer statutory and company-provided insurance benefits, ensuring timely processing and compliance with applicable laws.
• Draft, organize, and maintain HR documents, including announcements, contracts, internal memos, and official decisions.

2. Employee Engagement

• Plan and organize corporate events, welfare programs, and initiatives to foster employee engagement.
• Develop and execute internal communication plans, including newsletters, event kick-offs, and gift distributions.
• Actively participate in HR initiatives to promote collaboration, teamwork, and a positive company culture.

3. Recruitment & Onboarding

• Conduct labor market research to develop a robust sourcing database, ensuring the timely delivery of qualified candidates to the Line Manager.
• Establish strong, professional relationships with candidates throughout the recruitment process, maintaining engagement during and after interviews.
• Support new hires by facilitating a seamless onboarding experience and providing ongoing follow-up until the completion of their probationary period.
• Assist in all stages of the recruitment process, including job postings, interview coordination, reference checks, and extending job offers.
• Prepare employment contracts for successful candidates and monitor contract statuses to ensure compliance and timely renewals.
• Design orientation schedules and oversee logistical preparations to deliver a positive and engaging employee experience.

4. General HR Operations

• Maintain accurate and up-to-date employee records in compliance with company policies and legal requirements.
• Provide timely support on other HR-related tasks and projects as assigned by the Senior Manager, HRBP.

• Daily Operation: Manage smooth daily operations in sales include achieving company target as key performance indicators and maintain best practice relationship with the customer.
• Order Processing and Fulfillment: Ensuring all sales orders are entered into the system correctly and processed through to delivery without errors or delays.
• Coordination Between Teams: Collaborating with sales, supply chain, logistics, and finance teams to ensure smooth order fulfillment and address any issues.
• Monitoring and Tracking Orders: Keeping track of order statuses, inventory levels, and delivery schedules, ensuring customers receive their orders as expected.
• Customer Communication: Acting as a point of contact for customers, providing updates on order status, handling changes, and resolving issues related to orders.
• Process Optimization: Identifying areas for improvement within the order management process to increase efficiency, reduce errors, and enhance customer satisfaction.
• Reporting and Analytics: Generating reports on order volumes, lead times, fulfillment rates, and other key metrics to inform decision-making and improve performance.
• Ensures that the entire order lifecycle, from order creation to delivery, runs smoothly and aligns with company goals.
• Manage Team: manage team member work properly to achieve sales target

About The Role

In Legal - Compliance and Admin Team, you will help and assure Company’s compliance, license, and other parts of compliance matters are aligned with applicable law and regulation in Indonesia. Also you will handle legal administration of the Company and administration of the Legal Team.

Job Responsibilities

• Assist the internal team with legal requests and/or requirements.
• Manage the company's Intellectual Property rights and conduct audits on IP that may potentially infringe upon the company's IP.
• Responsible for ensuring the company's compliance with legal obligations within the legal system in Indonesia (OSS, LKPM, Construction Reports).
• Responsible for internal regulations within the company (coordinating with the HR team).
• Ensure and update the company's permits and licenses.

• Bachelor degree of law from reputable university

• 1- 2 (two) years Post Qualified Experience (PQE)

• Having an experience in construction company would be preferable

• Having experience in handling OSS and LKPM, also accustomed to dealing and communicating with Government institutions.
• Strong written and oral communication skills
• Highly organized, detail-oriented individual
• Works well with a team and independently

About The Role

In the Legal - Dispute Resolution Team, you will take care and assure any legal dispute or any potential legal dispute will be acted and resolved accordingly. This team is also responsible to submit legal risk management towards upper-management regarding projects and/or any action from other departments. This team, with the Finance Dept. and the People Dept. will also ensure any misbehaviour, misconduct, and/or any wrongdoing by employees of the Company will be acted accordingly with Company Regulation and applicable law in the Republic of Indonesia.

Job Responsibilities

• Take care of any legal dispute that the Company encounters (non-litigation).
• Implementing measures or formulating plans to address potential legal issues.
• Resolving disputes between the company and employees (e.g., reprimands, written warnings, termination, and bipartite negotiations).
• Resolving any overdue receivables with clients.
• Maintain good communication with external legal providers.

• Bachelor degree of law from a reputable university.

• 1- 2 (two) years Post Qualified Experience (PQE).

• Having an experience in a construction company or reputable law firm would be preferable.

• Having experience in handling legal cases and manpower disputes would be preferable.
• Excellent communication skills, both verbal and written, with the ability to articulate complex legal issues clearly.
• Strong problem-solving abilities, with a proactive approach to resolving disputes before they escalate.
• Ability to manage multiple cases simultaneously and prioritize tasks effectively.
• Detail-oriented with strong organizational skills.

• Efficient in assisting guests throughout their stay with any requirements, handling guest feedback, provide direction and give suggestions

• Maximizing room revenue by up-selling to a higher rate category and selling the highest possible rates for walk-in guests
• Ensure the safety, security and loss control policies and procedures are compiled with at the front desk and back office area 
• Perform any related duties and special projects as requested by the Front Office Manager, Reception and Duty Manager 

• Perform check IN/OUT of guests using Opera cloud.
• Welcome and greet guests, answer inquiries and incoming calls.
• Prepare occupancy and guests report
• Maintain group and individual arrival report daily.
• Inform guests of hotel rates and services and create/cancel/confirm reservations.
• Provide information about our hotel, available rooms, rates and amenities
• Liaise with our housekeeping staff to ensure all rooms are clean, tidy and fully-furnished to accommodate guests’ needs

1. Berkoordinasi dengan tim BD-Sales untuk kebutuhan ekspansi (baik untuk kota baru maupun existing), termasuk
kebutuhan coworking space, storage training room dan meeting room)
2. Negosiasi dan koordinasi dengan vendor terkait pengadaan kebutuhan ekspansi (office space dan storage),
barang, dan jasa (internet, cctv, konstruksi) di kantor cabang
3. Melakukan fit out untuk ekspansi kantor cabang (ruko)
4. Bertanggung jawab untuk mengawasi operasional kantor wilayah Jawa Timur, wilayah Indonesia bagian tengah
dan timur, diantaranya:
a. Berkoordinasi dengan user di kantor cabang serta pengadaan untuk kebutuhan rutin kantor seperti Sanitasi,
ATK, Pantry, kursi, lemari, dan fasilitas pendukung lainnya
b. Maintenance fasilitas kantor cabang yang berupa ruko seperti menjadwalkan cuci rutin AC, membersihkan
toren air, maintenance building checklist dan pengajuan perbaikan apabila ada yang rusak)
c. Mengatur dan mengawasi pekerjaan OB di kantor cabang
5. Submit pembayaran (FPR) ke tim Finance untuk kebutuhan kantor cabang (Sampah, IPL, dll) serta melakukan
pencatatan Petty Cash dan membuat report pengeluarannya setiap 2 minggu
6. Melakukan update data Opex dan Capex setiap bulannya
7. Support stock opname aset tahunan untuk kantor cabang

• Developing IT governance, risk, and compliance frameworks into policies and standards that can be implemented within the company’s IT environment
• Ensuring IT governance, risk, and compliance can be socialized and applied in the company’s IT operations
• Regularly monitoring and assessing the implementation of IT governance, risk, and compliance within the company and providing reports to management
• Collaborating with other IT departments to detail policies and SOPs for IT operations
• Working specifically with the IT Network & Security Department to develop IT security concepts and their implementation to maintain data security
• Developing internal company processes to achieve IT governance, risk, and compliance certification and overseeing surveillance processes after certification is obtained
