About The Role

We are seeking a resourceful and detail-oriented Procurement Specialist to join our team. As a Procurement Specialist, your role will be critical in sourcing high-quality materials and services at competitive prices. You will work closely with suppliers, negotiate contracts, and ensure that our company’s procurement processes are efficient and cost-effective. Your ability to build strong relationships with vendors and manage the supply chain will help us meet project deadlines and maintain the quality of our construction projects. By maintaining a proactive approach to sourcing, you will contribute to our overall success and ensure that our projects are delivered on time and within budget.

Key Duties and Delights

• Source and identify high-quality materials and suppliers for various construction projects.
• Negotiate pricing, terms, and conditions with suppliers to ensure favorable contract agreements.
• Develop and manage a strong network of reliable suppliers, maintaining relationships to ensure consistent delivery of materials.
• Collaborate with the project and site teams to understand material requirements and ensure timely delivery of materials.
• Monitor market trends and conduct supplier performance evaluations to maintain the highest quality standards.
• Manage contracts, procurement agreements, and purchase orders to ensure they align with project specifications and budget constraints.
• Work with the finance team to manage payment terms and ensure accurate invoicing and timely payment to suppliers.
• Continuously look for ways to optimize the procurement process, reduce costs, and improve efficiency in material sourcing.
• Ensure all sourced materials comply with quality standards, safety regulations, and project specifications.

• Bachelor’s degree in business, supply chain management, construction management, or a related field.
• Minimum 2 years of experience in procurement, preferably within the construction industry.
• Strong negotiation skills and a solid understanding of contract management.
• Familiarity with construction materials and vendor management.
• Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external suppliers.
• Strong analytical skills and attention to detail, especially in managing contracts and material specifications.
• Ability to work under pressure and meet tight deadlines while maintaining a high level of accuracy.
• Preferable domicile in Jakarta or willing to work on-site in Jakarta.

• Source and negotiate with suppliers to procure goods and services required for the business, such as housekeeping supplies, food and beverages, maintenance materials, etc.

• Maintain accurate inventory records, monitor stock levels, and coordinate with the Operations Manager to ensure timely replenishment
• Accurately input and update procurement and inventory data into the system.
• Match purchase orders, invoices, and delivery notes to ensure accuracy and resolve discrepancies
• Build and maintain strong relationships with vendors and suppliers.
• Provide general administrative support, including filing, record-keeping, and handling correspondence related to procurement
• Monitor and control costs related to procurement to ensure alignment with budgetary constraints
• Prepare and submit regular reports on procurement activities, inventory levels, and cost analysis
• Ensure that all procurement activities comply with company policies and relevant regulations

• Bachelor’s degree in Business Administration,  Supply Chain Management, Hospitality Management or a related field

• Bachelor's degree in business, supply chain, management, finance or a related field
• Minimum of 2 years of experience in procurement, purchasing or supply chain management, preferably within the hospitality industry
• Strong attention to detail and accuracy in data input and record-keeping
• Good verbal and written communication skills in both English and Indonesian
• Strong organizational skills with the ability to manage multiple tasks and priorities
• Ability to negotiate effectively with suppliers and vendors
• Proficient in using procurement software, inventory management systems, and general office applications (e.g., Microsoft Office Suite)
• Ability to identify and resolve issues related to procurement and inventory management
• Willingness to work in the site on daily basis
