Office Management 

• Manage the relationship with vendors/ suppliers and external service providers i.e. telco operator, internet provider, cleaning services, etc 

• Work alongside with Finance in maintaining a budget for office expenses. 

• Handle procurement or purchase request from internal/external stakeholders 

• Respond to emergency situations or other urgent issues involving the facility 

• General administration duties including maintaining of copier machine and other office equipment etc repair and maintenance for office equipment 

• Maintain and replenish of pantry and stationeries control 

• Liaison with Travel Agent, Airlines and Hotel Reps. for Corporate rates 

• Assist in arrangement for hotel reservations for events, meetings etc 

• Travel and visa arrangement for Indonesia office; assist and handling of visas for local and region request 

• Postage / mail handling, courier service arrangement 

• Liaison with the landlord on structural issues, problem resolution with the office space, fire safety and security etc 

• Business name card printing arrangement 

• Support HR and IT with onboard preparation i.e. laptop set up, issuance/ update of staff security access pass 

• Provide the front line of visitor hospitality, ensuring guests are cordially received in a prompt manner and directed to the proper meeting place 

• Maintains and updates the Asset Register including asset tagging 

• Acts as the liaison for all visitors coming from other Believe entities worldwide. 

• Perform general administrative and secretarial duties including corresponding with internal and external stakeholders 

• Contact point for all IT related issues coordinating with Believe Helpdesk/ Security for IT asset management lifecycle to include receiving hardware deliveries, unboxing and secure storage of all hardware and software, printer setup, and remote troubleshooting assistance, etc

Job Requirements

• Coordinate and manage the CEO and other expat executives' schedules, including meetings, appointments, and travel arrangements
• Anticipate potential scheduling conflicts and proactively resolve them
• Serve as the primary point of contact between the CEO and internal/external stakeholders
• Draft and edit emails, memos, reports, and other documents on behalf of the executives
• Arrange domestic and international travel, including flights, accommodation, and transportation
• Create detailed itineraries and provide necessary travel documents
• Organize and maintain confidential files, records, and documents
• Assist in the planning and coordination of corporate events, conferences, and executive retreats

Candidate Requirements

• Bachelor's degree in a related field
• Proficiency in English and Indonesian is required
• Proven experience as an Executive Assistant or similar role

• Strong written and verbal communication skills
• Discretion and ability to handle confidential information with professionalism

• Being in-charge for audit engagement
• Manage audit fieldwork according to Department's Standard.
• Prepare audit plans, audit procedure/program, risk analysis, monitoring audit progress together with Manager or Assistant
• Perform checking on compliance to SOP and test of operating effectiveness of internal control.
• Perform substantive testing or test of details and analytical procedure
• Prepare audit working paper in complete, systematic and timely manner according to Department's Standard
• Review subordinates working paper. Perform coaching, training for team members
• Prepare Deficiency Matrix. Communicate and discuss audit findings and recommendation with clients

• Bachelor degree from reputable university with min IPK 3.0 majoring in Accounting/Finance
• Minimum 2 year experience in audit field
• Experienced in handling hospitality client and SAP accounting software is an advantage
• Relevant experience in internal controls, observations and giving recommendations for business process and control issues as well as its operations
• Lead engagement team, review working papers & give feedback to subordinates
• Having a strong logic, analysis, problem solving skills, initiative, team work, strong sense of responsibility, and integrity

Responsibilities:

• Ensuring audit plan is executed properly and sufficient audit evidence and/or documentation is obtained to support audit findings
• Collect and analyze data to detect anomaly transaction, deficient controls, duplicated effort, extravagance, fraud, or non-compliance with laws, regulations, and management policies.
• Implement systems and procedures related to audit process.
• Demonstrate the ability to identify root cause of audit process.
• Prepare audit working papers in complete, systematic, and timely manner and ensure those are documented in accordance with professional standard.
• Prepare detailed audit report.
• Providing insightful recommendations to minimize or eliminate risks to shareholders.
• Monitor open issues and ensure implementations of recommend internal control measures.
• Maintain good relations with the Auditee and third counterparts during the implementation of internal audit assignment.
• If required, conduct investigations into fraud cases.

• Bachelor’s Degree in economics, accounting, management, or in another business related discipline from top grade universities.
• At least 4 year(s) audit experience in banking industry or audit consulting firm as risk or audit advisor is preferable.
• Certified banking internal auditor, risk management or related certification would be an advantage.
• Proficient in Ms. Word, Excel, and PowerPoint.
• Have a good knowledge in internal auditing and risk management.
• Familiar with COSO framework and concept.
• Ability to work with multiple projects, proactive and high initiative.
