Staff Finance & Accounting

Arranging School daily operation services:

• Room/facilities arrangement for schedule, availability in coordination with Academic 
• Managing facility/venue renting procedure with third partied (controlling the schedule and venue availability to maximize revenue)
• Managing outside vendor such canteen and FB vendor on daily basis and on certain event
• School Shuttle Bus arrangement for daily schedule and other needs for school and office
• Operational car & taxi arrangement for schedule based on needs and priority.
• Providing and arranging school and office daily needs ATK, Water, etc.
•  Supporting Academic team for providing material needs in every terms.
• Providing and arranging students’ needs daily books, uniform in SASHOP and meals (catering) in coordination with catering vendor.
• Travel Arrangement: arranging airplane & hotel for any business trip requested by academic or under GA Budget.
• Create transaction in Oracle system: Purchase Request, Reimbursement & Cash Advance Request, and Travel Allowance including the realization.
• Other administrative needs and other non-daily services for school & office

Building Facility and Maintenance:

• Maintaining building facilities to provide comfort and appropriateness in coordination with Engineering and vendor.
• Managing cleaner outsource in providing services and making sure the cleanliness of building and facility in standard.
• Managing security cleaner outsource in providing services and making sure the security and safety in standard and making sure all asset safe.
• Managing other outside vendor (pest control, pool, and elevator) to provide service and make sure all the facility maintains and working in accordance with school standards and safety.
• Plan and monitor maintenance schedule is in place in coordination with engineering.
• Doing daily walkaround in all property area to make sure all-in place in accordance with “PATROL” system application and standard and follow up any issue and making sure it will be fixed.
• Resolving complaints, problems, and requests related with building and facilities.

Budget & Inventory Management

• Take good care of stocks, inventory, and other equipment. Maintain inventory and supplies for daily operation.
• Doing Stock Opname process on monthly basis in coordination with finance and make sure stock vs inventory system are balance.
• Controlling budget vs actual on daily operation when creating PR on the system
• Assisting Academic to create PR, RM and CA on the system. 

• Sales & Purchase Documentation: Create and oversee the completion of all necessary sales and purchase documents.
• Insurance: Prepare goods insurance applications.
• Internal Coordination: Coordinate with departments such as site logistics and surveyors to ensure efficient operations.
• Inventory Management: Monitor inventory levels to ensure timely order fulfillment.
• Accounts Receivable: Proactively monitor accounts receivable and follow up on overdue payments.
• Reporting: Generate sales reports, forecasts, and performance metrics for management and sales team review.
• Contract Review: Assist in reviewing buying and selling contracts and coordinate with the legal team to ensure compliance and minimize risks.
• Administrative Tasks: Manage administrative tasks, including data entry, filing, and maintaining documentation using Atlas.

Quality Staff (Quality Assurance/Quality Control) 

Mendukung Head of Quality dalam melakukan pengawasan dan tanggung jawab untuk memonitor Quality Department Performance: Penyusunan produk defect termasuk laporan tindakan perbaikan/pencegahan kepada Pelanggan, penyempurnaan rencana sistem Quality Control/ Quality Assurance untuk menjamin kepuasan Pelanggan melalui kualitas produk, Klaim Pelanggan, menindaklanjuti dan berkoordinasi untuk penolakan dari inspeksi pengiriman, penanganan Kontrol Pemasok, dll
