The Role

People are at the heart of everything we do. As our People Operations Assistant, you will be a champion of Love, Bonito’s culture and values and will play an integral role in spearheading the employee lifecycle globally. 

As a member of our Global Shared Service team, you will be reporting and working closely with our People Operations Manager to play a crucial role in supporting the People Operations team by managing the employee lifecycle, providing responsive support to employee inquiries, and maintaining HR systems. This role ensures that HR processes run smoothly and that employees receive timely assistance throughout their journey with the organisation.

Main Responsibilities

Employee Lifecycle Management:

• Assist in coordinating and executing all stages of the employee lifecycle, including onboarding, transitions, and offboarding.
• Ensure all employee records are accurately maintained and updated in HR systems.
• Support the execution of onboarding and orientation programs to help new employees integrate into the organization.

Employee Inquiries and Support:

• Serve as the first point of contact for employee inquiries related to HR policies, benefits, and other HR-related matters.
• Provide prompt and accurate responses to employee questions and concerns, escalating issues as necessary.
• Maintain a high level of customer service, ensuring a positive experience for all employees seeking assistance.

HR Systems Maintenance:

• Maintain and update HR systems with accurate employee data, including new hires, changes, and terminations.
• Monitor system performance and troubleshoot issues to ensure seamless operation.
• Assist in the implementation and testing of system updates or new HR technologies.

Documentation and Compliance:

• Ensure all HR documentation is up to date and compliant with legal and company policies.
• Assist in the preparation of reports and data analysis for the People Operations team.
• Support audit processes by providing accurate and timely information.

Administrative Support:

• Provide general administrative support to the People Operations Executive and the wider HR team.
• Assist with scheduling meetings, preparing documents, and coordinating HR events or programs.
• Manage HR-related communications, ensuring that all stakeholders are informed of relevant updates and changes.

Requirements & Experiences :

• Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent work experience).
• 1+ year of experience in an HR support or administrative role.
• Proficiency in HR software and systems.
• Excellent written and verbal communication skills, ability to exercise tact, discretion and the initiative to efficiently meet the demands of our internal stakeholders.
• High attention to detail and a commitment to accuracy.
• Proven team player and have the ability to communicate effectively. 
• Experience in project coordination, or other document management or administrative experience in a fast paced, customer-centric environment.
• Ability to approach problems flexibly and demonstrate creativity in solving them. 
• Has an insatiable desire to provide best-in-class employee experience. 
• Good understanding of Employment Act and other relevant employee government legislations as applicable to the workplace.

As member of Office management team, your responsibility included 

• Greet visitors and direct them to appropriate staff members, answer incoming phone calls and transfer them to relevant staff;
• Provide administrative assistance to the staff and management;
• Liaise with the building management to maintain good office services (air conditioning; power, hygiene, safety, etc);
• Supervise JOG Office Boy as well as hygiene services;
• Handle petty cash and control office expenses;
• Prepare administration reports as needed;
• Conduct all purchasing duties according to approved purchase requests;
• Select and negotiate with suppliers for the best purchasing package in terms of quality, price, term, delivery, and services

Position Purpose:

• To oversee, develop, and leverage the performance of the brand in the Indonesian market. Specifically, to focus on developing brand image and positioning, sales turnover as well as profitability.
• To partner with a wide variety of respective parties in managing leading-edge premium beauty lifestyle products to ensure the business milestones are achieved as per the business plan.

Description of Duties:

Planning function:

• Analyze market data and sales trends to set up an annual budget, in terms of revenue, expenditures, and profitability
• Create and develop clear business strategies to achieve daily/monthly/yearly goals
• Create and develop a marketing plan as well as set up clear indicators to measure the results of each activity

Operational:

• Effectively execute marketing activities according to the marketing calendar and to ensure the return on investment
• Set up sales targets, and periodic sales forecasts and must ensure the expected sales outcome is achieved
• Construct monthly sales report that summarizes sales achievement, marketing activities updates, and competitive landscape for submission to principal
• Manage, control, and implement optimum merchandising in accordance with brand guidelines
• Explore, prospect, and manage consumer data, encouraging engagement programs to maintain long-run goals

Liaison:

• Liaise with the respective principal in bringing a consistent brand image & marketing programs i.e. marketing campaigns, product launches, PR events, etc.
• Liaise with respective government institutions to ensure that all practices comply with regulation
• Liaise with local partners and ensure business milestones are in place
• Liaise with internal organization to ensure all SOPs are in place

• At least 8 years experience in the related field, with 3 years as a brand manager in the retail industry preferably in high-end and luxury haircare.
• Strong creative, analytical, communication, and organization skills
• Possess a degree in business, marketing, or a related degree. Preferably Brand Managers also hold an advanced degree
• Have a background of retail sales, inventory management, marketing, and brand management
• Have a good handle on consumer and market insights, including the ability to analyze market data, and he or she may be tasked with conducting consumer research
