Manage the operations of the Front Office Department by ensuring product quality standards are met and that optimum service is provided to all hotel guests according to the hotel’s and business objectives. To perform the human resource function in ensuring staff selection, training, counselling and recognition programs are adhered to in order to maximize performance standards and to adhere to guest service standards in order to maximize guest satisfaction.

• Monitor front office personnel to ensure guests receive prompt, cordial attention and personal recognition
• Supervise the Front Office team to ensure optimum occupancy and average room rate for the purpose of maximizing revenue
• Monitor Front Office, and particularly Butler personnel, to ensure LCAH members are known, as well as repeat guests and other VIPs receive special attention and recognition
• Promote internal Hotel sales and in-house facilities and monitors Front Office Marketing techniques in line with FIT marketing program
• To set up the target and drive the team to achieve upsell program on Suite, Villa, Transportation
• Maintain inter-departmental relationships to ensure seamless customer service
• Assume overall responsibility for maintaining standards to ensure furnishings facilities and equipment are clean, in good repair and well maintained
• Schedule and regularly conducts routine inspections of areas under his/her control
• Maintain knowledge of credit policies and procedures and liaise closely with Finance Department to ensure that credit procedures are properly carried out
• Know system recovery procedures

• Compile statistics for front office and provide reports relating to that area on the operation of Suite and Villas
• Continually check the accuracy of guest in house account
• Approve upgrades and special amenities
• Maintain appropriate standards of conduct, dress, hygiene, uniforms, appearance and posture of departmental employees
• Conduct comprehensive monthly departmental meetings to include a review of procedures and events which warrants special handling and detailed information
• Communicate to the General Manager of his/her delegate all information likely to be of interest to them such as the expected arrival and departure of VIPs and all other pertinent information
• Maintain all procedures and adheres to them within the company guidelines; in particular with emphasis on hotel credit policy.
• In conjunction with the Emergency Response Team prepare emergency procedures upon advice from relevant authority that cover such emergencies as Fire, Power Outrage, Bomb Threat, Cyclone Warnings, Tsunami, etc.
• Prepares efficient work schedule for Front Office Staff,  taking into consideration project occupancy and forecasts and any large group movements, especially those with early or late arrivals or departures.
• Works with Talent and Culture on manpower planning and management needs.
• Works with Housekeeping and Finance in the preparation and monitoring of the Rooms’ and FO budget and forecast.
• Maintain good relation with vendor and local community

• Reporting to Club Millesime Manager, to oversee the Club Millesime operations including the butler service, ensuring that the hotel standards and procedures are fully known and followed.
• To ensure uncompromising levels of cleanliness and maintenance through each ambassador’s responsibility.
• To ensure appropriate stock level for the smooth run of the Club Millesime operations and to prepare requisitions accordingly.
• To use the proper telephone etiquette as per Sofitel standards.
• To ensure a proper coverage and supervision of the lounge and butler service at all times.
• To personally supervise the breakfast service when the Lounge Supervisor is not on duty.
• To be present in the Club Millesime lounge during breakfast, afternoon tea and evening cocktail and to socialize with guests, playing a Public Relations role.
• To ensure that all Club Millesime guests enjoy their stay and receive the finest personal service.
• To personally greet and escort the guests rather than pointing out directions.
• To ensure that the privacy of the guests and the confidentiality of the information is respected.
• To act as a representative of the Management when dealing with guest complaints or if a member of the Sofitel Club Millésime team is facing difficulties that she/ he cannot solve on her/ his own.
• To manage any guest complaint in a professional manner, by resolving it and making sure the guest is satisfied, and recording it.
• To be fully aware of and to report all guest comments or complaints.
• To collect all profile details of any Club Millesime VIP one week prior to arrival and to ensure a daily update of the guest preferences on the PMS.
• To double check details of all Club Millesime reservations 24 hours prior to arrival and to follow every content.
• To personally supervise the Club Millesime VIP arrival (room block, room inspection, amenities) & welcome kit (international newspaper and welcome letter), as well as coordination with airport representative & Limousine driver.
• To ensure that the Senior Management is aware of all Club Millesime VIP arrivals.

Check-In dan Check-Out:

Administrasi dan Pemantauan:

• Mengelola reservasi dan memastikan pemesanan diperbarui dengan benar.
• Memproses pembayaran dan menangani transaksi keuangan dengan akurat.
• Mengatur dan memperbarui data tamu dalam sistem manajemen hotel.

Komunikasi dan Koordinasi:

• Berkomunikasi dengan departemen lain untuk memastikan kebutuhan tamu terpenuhi.
• Mengkoordinasikan dengan Housekeeping untuk memantau status kamar dan permintaan khusus.
• Menyampaikan informasi penting kepada tamu dan departemen terkait.

The Front Desk Agent acts as an ambassador for the hotel; providing a warm and personal welcome upon arrival, any assistance needed throughout the guests’ stay, and settling accounts accurately upon departure, with the desire to see the guest return.

• Communicates with other departments for general hotel knowledge as well as completing guest requests in a timely manner and ensures follow up is completed
