DESKRIPSI PEKERJAAN

• Melakukan perencanaan, strategi dan pelaksanaan pengadaan barang/jasa dari seluruh Direktorat;
• Melakukan review Kerangka Acuan Kerja (KAK), Spesifikasi dan harga perkiraan dari user sebelum dijadikan sebagai dokumen pengadaan;
• Melakukan analisis, memonitor dan mengendalikan proses pengadaan barang/jasa dengan sistem yang ada dan sesuai dengan standarisasi Perusahaan.
• Melakukan proses pemilihan penyedia sebagai pelaksana pengadaan atau pelaksanaan pembelian;
• Mempertimbangkan anggaran, persyaratan stok dan keterampilan yang diperlukan;
• Memastikan pemasok memenuhi persyaratan khusus dari Perusahaan, seperti akreditasi ISO atau tingkat asuransi tertentu yang di persyaratkan;
• Menyerahkan salinan dokumen pemilihan penyedia barang/jasa kepada Penanggung Jawab Kegiatan (PJK);
• Melakukan penyimpanan dokumen dan hasil pemilihan penyedia barang/jasa ke dalam sistem dokumen elektronik Perusahaan;
• Melakukan koordinasi implementasi Sistem Manajemen Keselamatan Kontraktor PAM JAYA (SMK2P);
• Membuat laporan pertanggung jawaban atas pelaksanaan kegiatan barang/jasa kepada Pengguna Anggaran.

-Mengelola inventory : stock opname dan movement stock pada produksi bakery, cake, dan kitchen

-Memastikan anggaran toko dipatuhi dengan ketat dan semua biaya dikendalikan termasuk biaya toko, harga pokok, waste (%) & biaya tenaga kerja (Labor hours)

-Memastikan semua staff memahami tentang product knowledge, best seller, informasi promosi & lainnya terkait penjualan makanan & minuman

-Memastikan semua staff menjalankan customer service excellent

-Melakukan review kinerja ke semua staff pada setiap proses di toko

-Memotivasi, membimbing, & melatih staf dalam meingkatkan penjualan dan pemenuhan produksi toko

-Bertanggungjawab atas pemeliharaan asset di toko secara keseluruhan dan melaporkan ke bagian terkait jika ada masalah

-Menyiapkan laporan & analisa penjualan harian, mingguan & bulanan

• Strategic Procurement Planning: Develop and implement a comprehensive procurement strategy aligned with the company's overall business objectives
• Supplier Relationship Management: Establish and maintain strong relationships with suppliers, ensuring timely delivery, quality standards, and competitive pricing
• Contract Negotiation: Negotiate and manage contracts with suppliers to secure favorable terms and conditions, including pricing, payment terms, and performance metrics
• Cost Reduction: Identify opportunities for cost reduction and implement strategies to optimize procurement spend
• Risk Management: Assess and mitigate procurement risks, including supply chain disruptions, quality issues, and financial risks
• Supplier Performance Evaluation: Establish and monitor key performance indicators (KPIs) to evaluate supplier performance and drive continuous improvement.
• Procurement Systems and Processes: Oversee the procurement process from requisition to payment, including supplier on-boarding, order placement, and invoice processing, and find opportunities for process efficiencies

As the Warehouse & Logistics Manager, you will be our subject-matter-expert in managing all aspects of our operations, focusing on inbound and outbound logistics, processing, warehouse management, and overall supply chain efficiency.

• Manage Processing Operations: Balance attention to detail with swift execution, solve problems efficiently, and collaborate with other departments.
• Oversee Inbound and Outbound Logistics: Manage and optimize transportation, ensure timely deliveries, and monitor costs.
• Warehouse Management: Coordinate warehouse activities, optimize space utilization, and ensure compliance with safety standards.
• Ensure Operational Efficiency: Develop strategies to improve efficiency, analyze data for improvements, and foster a culture of continuous improvement.
• Team Leadership and Development: Lead, mentor, and motivate the team, set goals, and promote a positive work environment.
• Compliance and Safety: Ensure regulatory compliance, enforce safety procedures, and conduct inspections to maintain safety standards.
   

Job responsibilities:

• Source and procure supplies and materials needed for daily operations.
• Create and manage purchase orders, tracking delivery times and order status.
• Monitor inventory levels and forecast future demand.
• Establish and maintain relationships with vendors and negotiate pricing and agreements.
• Work closely with other departments to ensure timely delivery of goods and efficient communication.
• Resolve any discrepancies or issues with orders.
• Develop and implement cost-saving initiatives and strategies.

• Bachelor's degree in Accounting.
• Minimum 2 years of experience in purchasing or a related field.
• Strong knowledge of procurement processes and procedures.
• Proficient in Microsoft Office and purchasing software.
• Excellent communication and negotiation skills.

Supply Chain Management

1. Manage the Contract Procurement Plan and regularly report out on performance of same.

2. Facilitate project / campus level vendor oversight and performance management.

3. Provide audit and oversight of the GC trade subcontract procurement plan including the recommendation of client nominated bidders.

Contract Services/LLE Procurement

1. Own the site / campus specific RFP & Contracting Processes.

2. Maintain a diversified supply chain, mitigate supplier capacity and schedule risks

3. Perform supplier sourcing, prequalification, bid list process for new suppliers

4. Onboarding of new Regional/Site suppliers

5. Manage drawdown of services/LLEs from Regional Frameworks.

6. Critically appraise contracts documents to ensure requisite quality of the package prior to RFP / Contract.

7. Manage contractual exceptions process in consultation with client’s legal team.

Contract Execution

1. Draft contract documents in strict accordance with client’s legal team approved contract templates.

2. ensure effective and timely document processing and management of contract

documents.

3. Provide initial review on all change orders.

4. Attend weekly change triage meetings to provide contract support on potential change orders.

Contracts Management

1. Draft Contractual Notices for the client's team

2. Track contractual milestones and collaborate with Program Manager to ensure alignment with project schedule.

3. Administer the claims management process.

4. Manage the Dispute Resolution Process as appropriate

6. Provide on job contract advice to the Project Management team.

• Conduct sourcing and procurement activities in the agribusiness sector, including purchasing commodities such as rice, livestock, and other agricultural products;
