Job Purpose

This position is responsible for the supervision of the smooth and efficient daily operation of the Front Desk and ensures that all hotel guests and visitors receive an optimum level of service and care at all times.

Primary Responsibilities

Front Office Operation

• Conduct daily briefings and ensure that all pertinent information is well received by team members
• Manage and supervise all tasks of his/her staff to ensure that highest quality service is delivered and department standards are met
• Review, analyze and suggest improvement of work flow and standards at the Front Desk
• Analyze rate variance report to ensure rooms revenue control, approve discounts and rebates
• Communicate with Front Office Manager on all matters regarding guest services & hotel operations
• Ensure documentation of all guest related issues using the logbook
• Sign media and supervise shift handover procedures
• Coordinate and communicate with other hotel departments as required regarding general administration and operations issues
• Provide management presence at all times by assisting with the handling of guests’ needs and complaints tactfully and efficiently
• Assist Guest Relations in greeting, rooming, and sending off guests
• Inspect front of house and back of house regularly for cleanliness and orderliness
• Ensure that front line staff complies with marketing techniques and maximizes sales
• Check billing instructions, monitor guest credit and act upon any discrepancies
• Coordinate full house situations and makes all necessary arrangements to handle overbooking and pledge relocates
• Ensure procedures of On-Call Valet Desks and driveways are manned at all times and run efficiently
• Ensures the Safety, Security and Loss Control policies and procedures are compiled with at the lobby and driveway. Handle and manage hotel emergencies.
• Conduct Night Audit Process for hotel

Team Management

• Provide department orientation and training of the hotel service standards, procedures and programs
• Constantly monitor team members’ appearance, attitude and degree of professionalism
• Motivates and provides a work environment which brings out the best in team members

Other Responsibilities

• Maintain complete knowledge of all food & beverage services, outlets and hotel services/features
• Be fully conversant with hotel fire & life safety/emergency procedures
• Attend all briefings, meetings and trainings as assigned by management
• Report for duty on time wearing clean and complete uniform at all times
• Maintain a high standard of personal appearance and hygiene at all times
• Perform other reasonable duties assigned by the Management of the Hotel

Main Complexity/Critical issues in the Job

Maintain highest standards and quality of services in Front Office operation to meet and exceed budgeted revenue targets and guests’ expectation/VOG target.

• Business Management : EBIT & P/L Management for the BU. Understand the mix of topline and margins for healthy business performance
• Derive action plans for driving the business val-vol based on strategic goals of the BU
• Portfolio Management : Proactively shaping the category by analyzing the user & market trends, application, competition and profitability aspects. Also look for opportunities of expanding the HG portfolio in India. 
• Act as country SPOC for any product related information like product application, usage, typical customer, USPs, competition comparison
• Develop Online & Offline Marketing plan quarter-wise for product / user groups based on the BU focus (Sales promotions, advertising, POS, trade marketing)
• Curate products for specific platforms (Online, KU, Trade) as per user reach and req.  
• Price Management: Competitive pricing structure & price volume equation that benefits org.
• C-Budget ownership, Utilization tracking and planning of spends- in offline & Digital media as per channel-based requirements. Understanding of spend v/s ROI
• Data Analytics : Sales data analysis by correlating multiple data points
• Sales Delivery: Regular interaction with regions to understand local market trends and support to achieve the distribution expansion & TGS target & drive the exclusive Home & Garden BDMs in the regions to achieve their sales goals.
• Provide volume forecast based on market trends to ensure product availability
• Monitor & drive Green & Blue product portfolio performance in HPWs with respective users. 
• Events & trade Shows : Plan & Coordinate for dealer meets, fairs and user events
• RM Budget alignment between RMM hub, CSOs and CTG
• Local adaptation of customer specific listings to insure high numerical distribution
• Provide relevant input about market developments in country (competitors development, customer cluster development) 
• Collaboration with central BU teams on marketing, content, profitability, availability topics

• Is an escalation point internally and externally for ASM team (and BDM team where applicable)
• Identification/acquisition of new dealers and development of existing customer portfolio within assigned sales area
• Ensure correct deployment of T&C and pricing within frameworks and ensure distribution penetration and listings growth
• Communicate and implement cross-BU marketing activities across assigned sales area
• Takes care of duties ASM (and BDM where applicable) +TSP

• Acquire new customer (Distributor, Retail, Modern Retail) on potential areas.
• Planning, tracking, and follow up sales order, customer forecasting, and planning of each individual account.
• Ensure timely payment of customer for deliveries and also follow up customer.
• Ensure achievement of user service level including customer complaint management and also the coordination with internal sales admin to support on time delivery to customer.
• Keep customer relation in a consistent customer visit plan in supporting the “push through” of marketing activities for sales info market.
• Handling customer complaint, and feedback in timely manner and disciplined manner.
• After sales support and concern in terms of warranty handling and product return due to errors.
• Working together with Sales Manager to assess the weighted and numeric distribution of product within the distribution channel.
• Work closely with product marketing team in developing the right product mix for the market and distribution to ensure consistent sales and market relevant product.
• Know how to developing business and able to set business plan in working area.
• Handling distributors (sell in and sell out), have capability to develop East Java market through distributor, retail and local MP.

• Manage the operations of all e-commerce platforms via respective enablers, for Bosch Home official stores including execution of promotions and campaigns, order fulfilment, customer experience, product listings and other operational activities
• Manage customers’ inquiries and resolve issues in a timely manner i.e., via creating appropriate chat responses for enablers or other form of communication
• Coordinate with cross-functional departments to manage ecommerce platform
• Work with sales administration/ operations to ensure smooth fulfilment process with excellent customer satisfaction 
• Serve as the lead contact with e-Commerce platforms
• Work with content teams of enablers and internal marketing team to setup product listings, shop-in-shop designs and ensure content are aligned with the brand’s marketing and sales promotion plans
• Plan and execute various online campaigns, activities, and promotions for all e-Commerce platforms.
• Monitor competitors, products, market pricing and customer feedback and recommend improvement
• Conduct post-campaign analysis and day-to-day campaign monitoring
• Support to generate reports for analysis and insights on promotion and campaign performances
• Analyze and identify trends across the online customer shopping journey, provide insights & recommendations to drive additional traffics, and thus promote the sales.
• Analyze online sales performance on a regular basis to ensure the achievement of monthly sales target.
• Work closely with internal stakeholders to monitor and analyze competitors’ activations and promotions at online and offline channels.
• Management & training of e-Commerce enabler/ reseller in (content management, order fulfillment, customer service, campaign design marketing and e-Commerce maintenance).

• Serve as the key business partner working together with management and other departments to drive business initiatives towards identification, implementation, and to deliver key operational efficiencies
• Manage daily financial activities as well as financial resource planning, forecasting, and budget control. 
• Strategically plan and monitor annual financial budget/forecast, capital expenditures, liquidity, and funding to ensure optimal working capital and to mitigate financial risks
• Monitor financial performance against strategic goals by providing financial forecasts, reviews, and analysis. Address forecast deviations and potential financial challenges in order to ensure company is on track with budget
• Close collaboration with Sales department to prepare weekly turnover report together with Sales department in order to ensure Company on track with plan / forecasts topline
• Driving the financial performance through proactively providing and analyzing management information, identifying any issues in the business, developing options, and implementing solutions to improve performance
• Oversee and manage daily operation in finance, accounting, and tax to ensure compliance, accuracy, and completeness of accounting records and reports
• Coordinate with the rest of finance team on the daily basis to ensure monthly and annual financial statements are met within the prescribed timeline. 
• Respond to inquiries and maintain effective relationships with external auditors, consultant, tax office, bank, and all relevant stakeholders
• Oversee implementation of risk management, compliance, limits of authority, budgeted costs, and costs control intiatives are implemented and adhered to
• Drive continuous improvement in accounting, reporting, and internal control processes to improve value given to every stakeholder

• Co-ordinate and conduct orientation programs and three month training plans; 

• Appoint a support person within the operational team for each and every new talent; 

• Seek feedback from new talent in their first month of employment; 

• Arrange probationary reviews and provide feedback to talent. 

• Establish onboarding procedures which ensure new talent feel welcome and all team members are prepared for the new talent arrival;

• Conduct/review training needs analysis annually and budget accordingly;

• Ensure development and implementation of annual training plan training to address and narrow the peformance gap; 

• Maximise the use of AccorHotels Academie programs to address gaps in performance; 

• Deliver all BrandPremise, Service Promise and quality standards training to all members of the team;  

• Maintain accurate reporting on the the training delivery and learning programs implemented;  

• Evaluate the effectiveness of the training for ROI and ROE; 

• Seek feedback from participants and their managers for effectiveness of learning and development programs; 

• Create a learning environment where each person has a personal development plan; 

• Follow up talent after attending AccorHotels Academie training programs to support the application of learning on the job; 

• Co-ordinate cross exposure and project based learning for star talent; 

• Sales order and delivery note processing in SAP
• Billing processing in SAP
• Assisting with TMS checking
• Billing documents hardcopy filling for customers.
• Import documents hardcopy archiving
• Invoice processing to FI, and monitoring payment to vendor (surveyor, audit companies, customs broker, etc).
• (SAP training will be provided)
