Job Purpose

This position is responsible for providing an exceptional customer service assistance, accurate information and personalized solutions to all guests’ inquiries concerning hotel facilities, venues and functions.

Primary Responsibilities

Front Office Operation

• Performs Front Office operations, applying the organizational structure defined by the Front Office Manager
• Contributes to guest satisfaction at all times by providing high quality services throughout their stay
• Gives priority to guest relations, while taking care to respect administrative procedures
• Handles any guest complaints and/or remarks; provides a response as soon as possible
• Takes care of the arrival and departure processes for guests in compliance with internal procedures
• Maintains excellent relations with the welcomers, ensuring their activities complement each other
• Informs guests about the formalities, any particular conditions relating to their stay and the services available
• Passes on information as necessary to other departments (floor staff, technical etc.) and to other members of the front desk team
• Promotes the brand and/or Group loyalty program, adapting the sales pitch to suit the guest's needs
• Respects the hotel's commitments to the "Environment Charter" (saving energy, recycling, sorting waste etc)
• Receive telephone calls and take messages for guests who are out
• Alert Security or Duty Manager of suspicious looking person(s) / articles

• Handling reservations inquiries and requests with the highest level of professionalism and customer service
• Efficiently and promptly establishing the correspondence service to guest inquiries.
• Ensure that the guests’ information is accurately processed on a timely manner.
• Full knowledge of the hotel facilities and activities.
• Oversees the daily movement of guest activities and able to resolve guest complaints and to establish an amicable relation with clients and customers of the hotel.

Report directly to the Duty Manager, the Guest Service Agent is directly responsible for the day-to-day operations of the reception whilst on duty.

The Guest Service Agent is also to ensure that guests and visitors are made to feel comfortable and welcome “at home” on arriving and departing the Hotel.

Responsible for the supervision of driveway and daily operation and to ensure a consistently high standard of guest service.

Responsible for Information desk activities (including guest queries, information, mail, and messages).

Identify the person to whom he/she is speaking, and the subject of the request, and direct the guest accordingly.

Provide general information to customers and guests in a good and helpful manner.

Identify ways of increasing the Hotel’s overall profitability within the section.

Know how to explain the hotel and network pricing policy to guests.

Know how to present the sales pitch for the various network products and hotel services.

Systematically offer the hotel’s services to guests upon their arrival.

Strive to implement the Accor Vision and demonstrate active use of the Accor Values

• Manage budgets responsibly on all accounts
• Demonstrate the confidence and competence to maintain overall control on all financial matters relating to designated clients including: billing, profitability, forecasting and servicing
• Maintain senior level client contact on a regular basis and ensure full understanding of client business, internal and external influencing factors, budgeting constraints and PR needs
• Ensure all accounts are maintained within agreed budgets and timetables
• Ensure review processes and annual PR programme is in place for each client
• Ensure programme is implemented according to pre-agreed programme
• Maintain rigorous quality control over work produced by junior staff
• Proactively cultivate industry contacts on ongoing basis to unearth new business leads and gain opportunities to pitch business
• Partner with division director in migrating client relationships to other practices within MSL and / or within sister companies, resulting in one client migration each year

• Foster relationships with sister Publicis Groupe organisations for cross-selling and networking purposes; convert one collaborative opportunity with a Groupe company each year

• Hold regular internal and external client review meetings to evaluate progress on each account, identify most successful activities, identify problems and review overall objectives and strategy
• Maintain consistent work flow from team member to team member through effective staff allocation on accounts and attention to work flow changes
• Direct and develop a number of account teams and be responsible for the achievement of objectives, within agreed timelines and budgets
• Nurture morale and teamwork within the group of accounts you supervise and provide all staff with growth opportunities within agency
• Handle issues and crisis management on behalf of clients
• Work with teams to enter MSL and industry Awards with client programmes
• Develop new ideas and strategies for existing clients and identify opportunities to demonstrate new initiatives on behalf of clients
• Actively seek out new business prospects and convert into pitch opportunities
• Take an active role in new business gain
• Develop new business programmes, taking the lead on developing, managing the pitch process, that wins new business

Position Overview:

• Lead PR & Digital aspect in Indonesia physically under guidance of Country Manager, Regional & Local Brand team.
• Be a strong partner to Brand Team in driving our offline and online business for e-retailers.
• Ensuring all PR & digital planned activities able to drive traffic to stores or retail. Being aligned with collective KPI and goals by working with Marketing Team to organize PR/KOL events and Trade events (Beauty Classes, CRM events) for key campaigns to achieve overall campaign goals.

Responsibilities:

Public Relations

• Responsible for creating strategy, implementation, and analysis of ATL Digital placement to increase brand awareness and strengthen the brands’ image as an international brand as well as increasing purchase intentions at e-commerce and at the counters.
• Driving PR results by creating & executing PR projects and initiatives locally based on budget.
• Responsible for planning and implementing PR campaigns in line with marketing calendar and business goals.
• Plan and execute PR launch events or in-store events for KOL/ Media/ Consumers in order to create brand image and brand awareness.
• Ensure the development of a strong relationship with top KOLS and media partners for earned media coverage.
• Work across internal teams to collaborate on creative ideas, online strategy and PR opportunities.
• Drive special PR sends & press releases for new launches and campaigns - PR stock ordering, packing, and seeding out.
• Regularly research, source, identify relevant partners/influencers/KOLs for campaign launches, maintain good relationship with KOLs to help achieve brand love and alleviate overall brand image through earned content creation.
• Researching beauty trends, competitor behavior and emerging media in order to innovate.

Digital

• Responsible for creating the brands’ digital asset accounts and maximizing the potential and use of these digital assets.
• Plan, source and evaluate content for multiple social media platforms.
• Manage and execute planning, creative and budgets for paid social media campaigns.
• Support/develop social media content strategy to increase social reach and engagement.
• Execution of digital ad buy for social media Ads Manager platform.
• Grow brand visibility on our e-retailers’ website including shaping star product launch plans with retailer’s digital team, establish the annual action plan, monitor brand presence and visibility on site and social media, increase brand reach on retailers' digital channels.
• Use search and insight tools to support campaigns.

E-Retailers/E-commerce

• Work with E-comm team to execute media buys for Sephora/Lazada collaboration ads and investment.
• Work with E-comm team for creation of digital assets for mega campaigns.
• Identify KOLs to push for mega retail campaigns and livestreams, if needed
• Oversee e-retailers livestreams to drive platform sales.

• Having experience in managing offline events or activations, such as brand launching, etc.
• Min. bachelor’s degree in public relations, communications or any related
• Min. 5 years building cross platform digital marketing programs and public relations; beauty industry experience is preferred.
• Excellent written, verbal communication & presentation skills
• Strategic, creative thinker with the ability to turn ideas into holistic content programs.
• Have the ability to work under pressure and meet deadlines in a timely manner.
• Have a flexible and professional attitude.
• Strong attention to detail, organized and good management skills.

• Conduct shift briefings to communicate hotel activities and operational requirements

The primary responsibility of a call center agent is to provide expertise services in a courteous manner. You are responsible for taking reservations, greeting and registering guests, providing outstanding guest service during their stay, and settling the guest-s account upon completion of their stay. You will handle all guest enquires, requests and comments promptly and efficiently, ensuring their stay in the hotel is to their satisfaction.

Front Desk Agent (Reception Agent)

Receiving Agent

The Receiving Agent is responsible to ensure that all incoming and outgoing items is received or shipped as described in the policy and procedures manual. To issue, store, price and rotate all incoming items for the hotel.

What you will be doing:

• Responsible for accepting delivery of goods on behalf of the hotel. This involves ensuring that all shipments are verified against purchase order specifications and standards.
• Responsible for handling shipping tasks and procedures as required.
• Receive goods and verify these goods against the purchase orders by taking into account the quantity and quality of the received products. Must note any short shipments or duplications.
• Maintain an up-to-date file of the receiving copy of all approved purchase orders. All purchase orders must clearly state the status of delivery (i.e., open or partial).
• Inspect the physical condition and count or measure the quality and weight of all items or supplies at the time they are received and before they are placed in storage.
• Ensure all deliveries are received at the designated receiving area only.
• Ensure all invoices and/or packing slips are stamped with the appropriate receiving stamp upon deliveries.
• Complete a daily receiving report and submit the invoices daily to the accounts payable.
• Ensure that the receiving area is clean and accessible.

The main purpose of the 24/7 Service Delivery Team is to ensure effectiveness in the solutions and services provided by HAUD and deliver on promised targets and SLAs.

Role and Responsibilities

• Perform regular scheduled testing using handphone and computer
• Collect data for analysis and reports
• Create reports using Word and Excel
• Liaise internally with the commercial and technical departments regarding client and system data
• Monitoring and analysis of messaging traffic and rule implementation
• Proactively provide feedback and findings from analyzing data
• To perform shift work duties on a 24x7 basis from Monday to Sunday including public holidays

• Proficiency in spoken and written English (this is an English speaking position)
• Computer literate with excellent knowledge of MS applications, particularly MS Excel

Receiving Agent

The Receiving Agent is responsible to ensure that all incoming and outgoing items is received or shipped as described in the policy and procedures manual. To issue, store, price and rotate all incoming items for the hotel.

What you will be doing:

• Responsible for accepting delivery of goods on behalf of the hotel. This involves ensuring that all shipments are verified against purchase order specifications and standards.
• Responsible for handling shipping tasks and procedures as required.
• Receive goods and verify these goods against the purchase orders by taking into account the quantity and quality of the received products. Must note any short shipments or duplications.
• Maintain an up-to-date file of the receiving copy of all approved purchase orders. All purchase orders must clearly state the status of delivery (i.e., open or partial).
• Inspect the physical condition and count or measure the quality and weight of all items or supplies at the time they are received and before they are placed in storage.
• Ensure all deliveries are received at the designated receiving area only.
• Ensure all invoices and/or packing slips are stamped with the appropriate receiving stamp upon deliveries.
• Complete a daily receiving report and submit the invoices daily to the accounts payable.
• Ensure that the receiving area is clean and accessible.
   

Reservation Agent

As a five-star Hotel Reservation Agent, you will be responsible for ensuring a seamless and exceptional guest experience by handling reservations, inquiries, and requests with the highest level of professionalism and customer service. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced and dynamic environment.

Employment will be under local contract. Open for Indonesian citizens only.

• Sales and Upselling: Promote additional services, upgrades, and amenities to maximize revenue. Recognize opportunities to upsell and contribute to achieving sales targets.

• Communication: Maintain clear and professional communication with guests, colleagues, and other departments. Coordinate with housekeeping, front desk, and other relevant teams to ensure smooth check-ins and check-outs.

• Administrative Tasks: Keep accurate records of reservations, cancellations, and no-shows. Generate reports as needed for management and other departments. Stay informed about current promotions, packages, and discounts.

• Problem Resolution: Address and resolve any issues related to reservations, ensuring guest satisfaction.Collaborate with other staff members to find solutions to challenges that may arise.

Front Desk Agent (Reception Agent)

First impressions are everything! As a Reception Agent, you will take care of the guests from the moment they arrive through to their departure by ensuring they have a memorable experience with us. Japanese-speaking ability is a plus point!

The Role

PR Influencer & Community Pillar

• Research and brainstorm on new potential influencer names that fits to Love, Bonito Indonesia brand image and campaign objective.
• Assisting to do KOL outreach (existing and new), negotiate rate and posting date based on SOW under guidance from PR assistant.
• Input and monitor KOL seeding request to Operations team to be completed in timely manner before KOL posting date. 
• Generate and share customized UTM/ track links to KOL.
• Share content brief to KOL.
• Update KOL names (posting date & rate) and clothing selections on tracker.
• Monitor KOL posting based on brief.

Social Media Pillar

• Instagram posting both graphic content & influencer repost in timely manner 
• IG Story: 2x daily
• IG Post: 1x week
• Generate UTM/ track links for Instagram posting & refresh Linkinbio

Ad Hoc 

• Assist & stand by for offline events and photoshoot 
• Request clothing lending for influencers/ muses 
• Assist to contact vendor (PR/ social) 

Requirements & Experiences :

• Available for 3-6 months internship program
• Open to university students (last year/semester preferred)
• Candidates with a specialisation in Marketing or related degree preferred
• Candidates with prior internships in PR & Social Media roles preferred
